Process

For clients sending their own envelopes to be addressed

Step 1. Contact me about your time frame and due date to see if we are available for your event. Be sure to know the date that you need the envelopes in hand and the quantity of envelopes that need to be addressed. 
 
Step 2.  If our calendar has space, I will send you an Invoice & Contract Proposal stating an estimate of my services and all of the contractual information you will need to understand. Each invoice will also include an estimated shipping retainer. But any shipping is the clients responsibility and will be billed last. 

Step 3.  A 50% non-refundable deposit is required before time is set aside on our calendar. Payments can be made via HoneyBook, where the invoice comes from, or we also except check, PayPal or credit card. Just let us know which you prefer and we will set it all up for you.

Step 4.  Please fill out the client questionnaire on the Process page (please fill out only applicable sections and delete everything else) containing simple questions about your event to help me serve you better. Please send it along in an email to Hello@designsbyrobynlove.com . (You are responsible for sending me an updated questionnaire anytime you make changes. I am not responsible for changes sent in an email, as they are too hard to keep track of.)

Step 5.  Please order 15% extra of your envelopes (both the inner and outer) from your stationer for mistakes. All calligraphers make mistakes, me included!


 

6. Start compiling your guest list using the guest list template on here. It is a great file for not only sending your addresses to me but it also has columns for keeping track of replies, gifts, and names for escort cards. Write out all names and addresses the exact way you want them on the completed project (including writing the state names in full and no abbreviations for street (st.) and such)! Remember that if you want your addresses centered on the envelopes they must be stacked on the guest list or I charge a $60 fee. To learn how to stack your address on Excel, click here. The list has to be sent to me as an editable digital file so I can make changes if necessary. You can send your list in a Word document or Google Doc, but please have the addresses stacked and written out like is described above.
 
7. Send me your envelopes to the address on our contact page.  Email your guest list and pay the second half of your estimated invoice by the date agreed upon.
 
8. I will look over your guest list and call if I have any questions or concerns.

9. Then I will finish your project before the date agreed upon and mail the completed project back to you, except some extra envelopes I will keep for any redos. I ship UPS ground with full coverage insurance just in case something goes wrong. All envelopes are packaged in plastic envelopes in sets so that they stay protected in the mail. The box is also padded if needed so the envelopes do not move around.

10. When you get your calligraphy, make sure to double check for any mistakes. I always save a few envelopes so any additions or redos can be made very quickly. If the mistake is mine, I will redo free of cost. If the mistake is yours, it will cost the original price. Just send an email with a numbered list of the redo's needed and whether each was the calligraphers fault or your fault. I will get your redo's out to you as quickly as possible.
